Overview

The Advvy Workflow provides a structured, end-to-end framework for managing campaigns from initial setup through planning, approval, execution, and reporting.

Rather than operating as isolated steps, Advvy workflows connect Campaigns, Media Plans, Approvals, MBAs, and Reporting tools into a single, governed process. This ensures consistency, accountability, and visibility across the entire campaign lifecycle.


The Advvy Campaign Lifecycle

At a high level, campaigns in Advvy typically follow this workflow:

  1. Campaign creation and configuration

  2. Media planning and data sync

  3. Campaign review and visualisation

  4. Approvals and authorisation (MBAs)

  5. Execution, monitoring, and reporting

Each stage builds on the previous one, with Advvy acting as the single source of truth throughout.


Stage 1: Campaign Setup

The workflow begins with creating a Campaign record, which acts as the central hub for all campaign activity.

During setup, users:

  • Create a Campaign (or convert a Campaign Brief)

  • Define key details such as client, product, dates, and budget

  • Configure Parent / Child Campaign structures if required

Campaign structure decisions made at this stage directly impact planning, reporting, and roll-up behaviour later in the workflow.


Stage 2: Media Planning & Sync

Media planning is typically performed in Excel using the Advvy Excel Add-in.

Key steps include:

  • Connecting to the correct Advvy environment and Campaign

  • Downloading and refreshing Reference Data

  • Building or updating the media plan

  • Syncing the media plan into Advvy

Once synced, media activity is stored as Campaign Flighting and Campaign Fee Flighting within the Campaign record.


Stage 3: Review & Visualisation

After sync, campaign data can be reviewed using Advvy’s visual tools:

Campaign Plan & Campaign Plan+ & Expenditure Plan

  • Visual Gantt-style views of media timing and delivery

  • Flexible timeline views (day, week, month, year)

  • Filtering, custom views, and budget summaries

Campaign Plan+ provides campaign-specific actions, including MBA generation and fee visibility.


Stage 4: Approvals & Authorisation (MBAs)

Media Buying Authorisations (MBAs) are generated from Campaign Plan+ once media activity is ready for approval.

The approval workflow includes:

  • Filtering campaign activity to define the MBA scope

  • Generating the MBA

  • Reviewing and submitting the MBA for client approval

  • Automated notifications to clients via the Client Portal

Advvy includes matching and automation rules to prevent duplicate MBAs and manage versioning.


Stage 5: Client Review & Approval

Clients review MBAs through the Advvy Client Portal, where they can:

  • View authorised media details

  • Access supporting documents

  • Provide comments or feedback

  • Approve or reject the MBA

Client actions are recorded against the MBA for audit and tracking.


Stage 6: Execution, Monitoring & Reporting

Once approved, campaigns move into execution and monitoring.

Advvy supports ongoing visibility through:

  • Media Summary roll-ups

  • Parent-level reporting for multi-campaign initiatives

  • Campaign Plan+ for timing and pacing validation

For complex initiatives, Parent Campaigns provide consolidated reporting across all linked Child Campaigns.


Workflow Governance & Controls

Throughout the workflow, Advvy applies governance to ensure data quality and control:

  • Validation rules during media plan syncs

  • Controlled overwrite behaviour for re-syncs

  • Role-based permissions for actions such as MBA generation

  • Auditable records for approvals and changes

These controls reduce risk while enabling efficient collaboration.
