MBA Matching & Automation Rules

Overview

Advvy includes built-in matching and automation logic to prevent duplicate or conflicting MBAs (Media Buying Authorisations) from existing at the same time.

This automation ensures that when a new MBA is generated using the same selection criteria as a previous MBA, the earlier MBA is automatically retired, maintaining a clean and auditable approval trail.


Why Matching & Automation Exists

MBA automation helps to:

  • Prevent duplicate MBAs being sent to clients

  • Ensure only the most recent MBA remains active

  • Maintain a clear version history for audit and reference

  • Reduce manual status management


MBA Matching Criteria

Automation is triggered based on the selection (filter) criteria used during MBA generation in Campaign Plan+.

How Matching Works

If the filter criteria used to create a new MBA exactly matches the filter criteria of an existing MBA, Advvy will automatically update the status of the earlier MBA.

When this occurs:

  • The previous MBA is automatically set to Superseded or Internally Replaced

  • The newly created MBA becomes the active version


Important Notes on Matching Logic

  • The filter criteria must be identical for automation to trigger

  • Changes within the filtered content (for example, updated line items, values, or dates) do not prevent automation

  • Automation is based on how the MBA was selected, not the underlying data values

This means you can regenerate an MBA using the same filter and Advvy will correctly manage versioning for you.


Where to View MBA Selection Criteria

The selection criteria used to generate an MBA is stored on the MBA record.

To view it:

  1. Open the MBA record

  2. Scroll to the Selection section at the bottom of the record

This section shows the exact Campaign Plan+ filter configuration used to generate the MBA and is used by Advvy for matching and automation.


Status Outcomes

When matching criteria are met, Advvy automatically applies one of the following statuses to the previous MBA:

  • Superseded — Replaced by a newer version and retained for reference

  • Internally Replaced — Replaced before client approval and hidden from the client

The appropriate status is applied automatically based on the MBA’s lifecycle stage.


Best Practices

  • Reuse consistent filters when regenerating MBAs

  • Avoid creating overlapping MBAs with slightly different filters unless intentional

  • Always review the Selection section on the MBA if unexpected automation occurs
